An Overview of Appointments & Statistics in Tracker

Because a person can have a number of appointments in Scouting it is difficult for Tracker to sort out on its own which one takes priority, when it comes to working out statistics. 

All the standard appointments are included in Tracker but Users may also add local appointments if required. However, these additional appointments will not be included in the statistics forms and reports. To include an adult who does not hold an appointment recognised by Tracker, add their appointment as required but set their main appointment to ‘Other Adult’.

Only people, both young and adult, who are active (Active box ticked on their personal detail page) are included in the statistics.

Young Section members show as long as they are aged under 19, their Group/Unit is set to the Group or Unit name and their Section is Beavers, Cubs, Scouts or Explorers.

For everyone else the database User has to set the person’s main appointment in their personal details record to one of those recognised by Tracker. 

Group Statistics

For an adult to show on a Group Census form or the Group page of the Statistics form, they must be active, over 18 and their Group/Unit must be set, their Section must be Beavers, Cubs, Scouts, Group or Fellowship and their main appointment must be either:

  • Beaver Scout Leader or Assistant Beaver Scout Leader
  • Cub Scout Leader or Assistant Cub Scout Leader
  • Scout Leader or Assistant Scout Leader
  • Group Scout Leader or Assistant Group Scout Leader
  • Scouter In Charge
  • Skills Instructor, Sectional Assistant, Beaver/Cub or Scout Assistants
  • For Fellowship members to be included in Group statistics they must either have a main appointment as above or have their main appointment set to ‘Fellowship’
  • For all other appointments the main appointment should be set to ‘Other Adult’

District Statstics

The District return is more complicated. Young members only show if they are Explorers. Explorers who are Young Leaders should have that role assigned as a main appointment to be included on the District Return Form. Adults are included if they are over 18, active and their appointment is one of:

  • Explorer Scout Leader, Explorer Scout Leader(Young Leaders) or Assistant Explorer Scout Leader
  • All Commissioner appointments including District Commissioner and District Explorer Scout Commissioner
  • Any Standard Administrator including District Administrator, DESA and Trg Administrators
  • Any Chairman, Secretary or Treasurer appointment
  • Skills Instructors or Unit/Section Assistants
  • District Scouter
  • For Fellowship members to be included in District statistics they must either have a main appointment as above or have their main appointment set to ‘Fellowship’
  • For all other appointments the main appointment should be set to ‘Other Adult’

Note: Membership totals on FormGR and FormDR are calculated separately from the individual appointment categories and are based on the actual members of a Group or District. If the main appointments are not set for each person they will not show in the appropriate category but they will be included in the total and as a result this total may appear incorrect.
