Meetings & Events
The Meetings form provides the core facilities for managing Meetings, Activities, Events and any fees associated with an activity. To add a new meeting Click on the The 4 Tabs provide the main meeting Details, as shown, a page for entering and viewing Program Zones and Attendees, a freeform page for Notes and a page showing a list of people whose Birthdays fall during the dates of the event. The Find Meetings Button provides a quick lookup to enable a Meeting to be called to display. The Organisers fields are used to control entries on the Group Programme form and in the reports. For instance if an event passport is required for an Explorer expedition the name of the part leader should be in the Person field. Even when an activity is not organised by the Unit or Group it can still be shown on the programme by ticking the Include In Group Programme box. TheNights Away Tick Box marks this meeting as counting towards the Nights Away staged activity badge. Although this does not currently register the person as having passed a particular requirement, it does show on their Personal Details - Record page. The Activities & Events tickbox controls whether this meeting is included on attendees Personal Record Cards. If either of these boxes are ticked then the Home Contact field is displayed. Here you can select your Home Contact and identify the Nights Away permit holder. This information is automatically included in the reports such as Contact Lists, Parental Consent Forms, Event Passports and Nights Away Notification Forms. By default only meetings from today’s date are shown. To see all meetings including past meetings click on Show. The New Fee button opens the Fee form to associates a payment with the meeting. If the button shows as Fees then there is already an existing payment set up. Click on the button to view. |
