Personal Details - Personal Details

The Personal Details form shows all the personal and contact details held about anyone in the database. It is split into a number of different Tabbed forms to avoid cluttering up any single page with too much information. 

The Personal Details page is the default page and is designed to show the essential information about this person if you wanted to look them up quickly. To add a new person click on the NewRecord button in the record controls at the bottom of the page. This is the standard Access method for adding a new record.

By default this page is locked to prevent making changes by mistake. Clicking on the LOCKED button will unlock the page and allow details to be changed or deleted.

A persons picture can be added by selecting Get Picture and browsing to a suitable (180 x 200 pixels is about right) JPEG or bitmap file.

Age is calculated automatically from the Date of Birth and shows half year points.  Note that wherever a date is needed a Calendar can be selected by double clicking on the date box.

There are 2 tick boxes on this page, the Members tick box and the Active tick box:

The Member tick box indicates people who are full Members of the Scout Association including adults. Tracker works out who are the Beavers, Cubs, Scouts or Explorers from their age and Section.

The Active tick box is used because not all members who join a Section actually continue attending or paying Subs but their details may need to be held until the situation can be clarified.  It can also be used where you are holding the details of young people who are registered but haven't yet joined the section. For example waiting lists, those ready for moving on and temporary members of an Explorer Unit who may be just joining in for a one off activity or camp.

If an email address is entered then the Letter Icon button will open a blank email to send to this person.

The Group/Unit drop down box holds all Units. Groups and Sections known to Tracker. Entering an unknown name in this box will pop up a query box asking if you wish to add that name as a new Group.

The DELETE button removes all the person’s details and records from the database but is only accessible when the page is unlocked.

The OUTPUT button opens up another form allowing this person’s details to be printed or exported.

The Binoculars in the top left corner open a standard windows search dialogue box.

Note:   If the current user is an Administrator, Leader or the User is viewing their own detail they will also see the Password Tab.
